How to use Agenda Duo

Easy guides, one step at a time. Print them, or text a guide to a friend.

1. Add your work email calendar

Put your work meetings next to your family plans. First add your work account to the iPhone, then tell Agenda Duo it’s for work.

On your iPhone

  1. Open the Settings app (the gray gear).
  2. Scroll down and tap Apps, then Calendar, then Calendar Accounts.
  3. Tap Add Account.
  4. Choose your kind of account: Microsoft Exchange for most work email, Outlook.com for a personal Outlook or Hotmail address, or Google for Gmail and Google work accounts.
  5. Sign in with your email address and password.
  6. Turn on Calendars. For Outlook tasks, turn on Reminders too. Then tap Save.

In Agenda Duo

  1. Tap Settings (the gear at the top left).
  2. Tap Calendars & Lists, then Calendars.
  3. Find your work calendar and set it to Work. Its meetings now show on the Work side.

Good to know: some workplaces block personal phones from work email and calendars. If the iPhone says “Unable to verify account” or won’t sign in, ask your IT team whether you can add your work account to the iPhone’s Calendar.

2. Share a to-do list with family

Share your grocery list so you can both add things and tick them off. One person shares the list, and the other person joins it. You both need to use iCloud for Reminders.

The person sharing the list

  1. Open Apple’s Reminders app and tap the list you want to share.
  2. Tap the Share button at the top: the square with an arrow. On older iPhones, it’s under the ••• button.
  3. Choose Messages, pick the other person and send the invitation.

The person joining the list

  1. Open the message and tap Join.
  2. In Agenda Duo, open To Do and tap the list (for example, Groceries).
  3. Near the bottom, under New items go on, choose the shared list. Now everything you add goes where the whole family can see it.

3. Use Brain Dump

Say everything on your mind at once. Agenda Duo sorts it into calendar events and to-dos, and shows you the list before anything is added.

Talk it out

  1. In Agenda Duo, tap Brain Dump at the top of your day.
  2. Tap Tap and Talk.
  3. Say several things in a row, for example: “Lunch with Sue Tuesday at noon, add milk and bread to groceries, call the pharmacy tomorrow.” Tap Stop when you’re done.
  4. Tap Sort It.
  5. Check the list. Tap words to fix them, or tap a circle to leave something out.
  6. Tap Add (for example, “Add 6 to My Lists and Calendar”). Done!

Scan a List

Have a list on paper? In Brain Dump, tap Scan a list under Tap and Talk and hold your iPhone over the page. Agenda Duo reads it, and you check the list and tap Add, just like above.

From a photo, even a paper calendar

Tap From a photo and choose a picture or screenshot: a flyer, an invitation, or a page of a paper calendar from the kitchen wall. Every event lands on its day. Check the list and tap Add.

A few photo readings are free. Agenda Duo Plus reads as many photos and screenshots as you like.

4. Add a widget

See your day on your Home Screen without opening the app.

  1. Go to your Home Screen and touch and hold an empty area until the apps jiggle.
  2. Tap the Edit button in the top-left corner, then Add Widget.
  3. Tap Agenda Duo.
  4. Choose Calendar or Month (or To Do, Countdown and more). Swipe to the size you want and tap Add Widget.
  5. Tap Done. The widget updates by itself as your day goes on.

Change what a widget shows

Touch and hold the widget and tap Edit Widget. For a Countdown, this is where you pick the event to count down to.

On the Lock Screen

Touch and hold the Lock Screen, tap Customize, then Lock Screen. Tap the space under the clock and add Agenda Duo’s Lock Screen or Countdown widget.

5. Ask My Calendar

Ask a question about your plans in your own words, and get a plain answer.

  1. In Agenda Duo, tap the More button at the top right (a circle with three dots).
  2. Tap Smart Tools, then Ask My Calendar.
  3. Tap Tap and Ask and say your question. Or type it and tap Ask.
  4. Read the answer. Try “When is my next dentist?”, “What’s on Thursday?” or “Am I free tomorrow at 3?”

Questions are free. Asking it to add or move an event, like “Move my dentist to Friday”, is part of Agenda Duo Plus. It always shows you the change and asks first. Nothing moves until you tap Move It.
